Management Quota Seat Cancellation and Refund Rules 2027: What AICTE Says and How to Protect Yourself

Booked a management quota seat but got a better option later? Know your rights. Here is what the AICTE refund policy says about cancellation, deadlines and original documents, plus how to protect your money.

It happens every year. A student books a management quota seat early to be safe, and then gets a better KCET or COMEDK allotment, or a seat at a preferred college. The first question parents ask is simple: will we get our money back?

The answer depends on timing and on the rules that apply to the institution. This guide explains what the AICTE refund policy says, what you should check before paying, and how to protect yourself.

What the AICTE refund policy says

AICTE-approved institutions follow the refund rules in the AICTE Approval Process Handbook (Clause 6.45 in the 2024-27 edition). In simple terms:

  • Withdrawal before the cut-off date: if a student withdraws before the last date notified for cancellation, the institution should refund the entire fee collected, after deducting a processing fee of not more than ₹1,000.
  • Original documents: institutions should not retain a student’s original certificates. They must be returned when the student withdraws.
  • Withdrawal after the cut-off date: a refund is linked to whether the vacated seat is filled by the last date of admission. Where the seat is filled, the fee is refunded after the processing fee and proportionate deductions for the period attended and any hostel stay. Where it is not filled, the institution returns the security deposit and original documents.

The cut-off dates are set every year in the AICTE academic calendar. Always check the date for 2027 before you pay or cancel. Contact us for updated details.

KCET and COMEDK seats have their own rules

If your seat was allotted through KCET (KEA) or COMEDK counselling, cancellation and fee refund follow the rules published by that authority for the year, including its own deadlines and deductions. Read the counselling brochure carefully and act within the cancellation window. Our guides to KCET 2027 and COMEDK 2027 explain how counselling works.

Before you pay for a management quota seat

  • Ask for the refund policy in writing. Get the college’s cancellation and refund terms before paying anything.
  • Pay only to the college. Use the college’s official bank account or payment link. Avoid cash payments to individuals.
  • Insist on an official receipt. It should show the college name, your name, the branch, the amount and the purpose of payment.
  • Do not hand over originals early. Submit originals only for final verification, and get an acknowledgement listing every document.
  • Note the key dates. Write down the cancellation cut-off and the counselling dates so you can decide in time.

How to cancel a seat

  1. Submit a written withdrawal request to the college, signed by the student and parent, and keep a stamped copy.
  2. Attach copies of the fee receipts and the admission letter.
  3. Ask for your original documents to be returned and get an acknowledgement.
  4. Follow up in writing. Keep all emails and letters.
  5. If a refund is unreasonably delayed or denied against published rules, you can raise a grievance with the institution, the affiliating university or the regulator as applicable.

Watch out for fake agents

Most refund problems start with payments made to unverified people. Be careful if anyone asks you to pay a large amount in cash, promises a “guaranteed” seat without written confirmation from the college, or refuses to give a proper receipt. A genuine consultant helps you deal with the college directly and transparently.
